A QR Code allows you track three types of assets; Customers, Equipment, and Rentals. This guide will demonstrate ways to use the QR Code System with each one.
The QR Code Maintenance Screen
This is the screen where you can assign a QR Code to an asset. Under the Assigned To, select the type of asset you are assigning the QR Code to, then select the corresponding asset. This asset will always be assigned to the QR Code until you decide to re-purpose the code for some other type of asset. To re-purpose the QR Code, simply click the red X next to the QR Code Number and choose your new asset.

Scanning a Code
To scan a code, you first need a QR Code Scanner. There are numerous QR Code scanner apps on both the Google Play Store, and the Apple Store. If you are using an Android device, we recommend using QR Droid. If you are using an apple device, we recommend using QR Reader for Iphone.
Once you have the appropriate scanner app, once you scan the QR Code, you will be asked to provide a tech login. This can be any user credential to access the desktop software, as well as any credential used to access the mobile app IE: R1, R2, R3. You will only have to login one time per day.
Assigning a QR Code to a Customer
You can assign a QR Code to a customer. When you scan the code, you will be able to view Customer Detail, View their Service History, Create a task, Create a Route Ticket, Create an Invoice, and Create a Quote:
Assigning a QR Code to a Piece of Equipment
You can assign a QR Code to a piece of equipment. After you associate a QR Code to a piece of equipment, once you scan the code you can view Equipment Service History, Create a Task, and View any tasks that may be pending for this customer.
Before you can start to assign QR Codes to Equipment, you will need to sync Customer Notes and Additional Info for the Equipment to show on the QR Code Maintenance Screen:
After the sync is completed, you can now start to assign QR Codes to Equipment:
Assigning a QR Code to a Rental
You can link a QR Code to a Rental Asset. To be more specific, a serial number of a particular rental item. In order to associate the QR Code to a rental transaction in the field, the rental transaction for the customer needs to created on the desktop first. Please follow these steps from rental item creation, all the way through assigning a QR Code to a rental that was created on the desktop:
Step 1: We need to create rent-able items on the Rental Inventory List. Click the drop down under Rental Info, then select Rental Inventory List. Once there click on Bulk Add Serial Numbers. This screen allows you to create hundreds of rent-able items in seconds.
Step 2: Now that you have some rent-able items, you can now create a rental transaction. This transaction needs to be created on the desktop so that a QR Code can assigned to it in the field. To create a rental transaction, click the drop down under Renal Info, then click Enter a New Rental.
Step 3: Now its time to send the rental inventory and the rental transactions to QR Code system. Click Sync Mobiles, and the from the drop down menu, select Rentals, and click Sync.
Step 4: To access the QR Code Maintenance Screen, click the drop down under Rentals, and then click QR Code Maintenance. You can also access it by clicking the drop down under Customer Info and then clicking QR Code Maintenance.
Step 5: Now for the good stuff. Now that the QR Code System has all it needs, you can see that the entire Rental Inventory List is available to assign to QR Codes. In the example, we will be adding QR Codes to Portable Toilets. If you would prefer to have the QR Code match the Serial Number for uniformity, now would be the time to implement this type of setup. Example: QR Code 1000 is assigned to Serial Number PT1000. A QR Code can be assigned to any Serial Number.
One way to begin to assign QR Codes to Serial is on your computer using the QR Code Maintenance Screen. After you have linked all of your QR Codes to Serial Numbers, go ahead and Stick the QR Code to the Asset.
The other way is to assign the QR Code in the field as you service the asset.
When viewing the QR Code Maintenance Screen, clicking the QR Code has the same behavior as if you were scanning the code in the field with a mobile device.
Once a day you will need to log in. You can log in with any credential that you would use on the desktop software. If you are a route driver, you would log in with your route name.
After you have logged in, under Assigned To, select Rental, and then select ANY Serial Number. You can also match the Serial Number to the QR Code if you choose to.
Now that we have assigned a QR Code to a serial number, its time to assign the Serial Number to the Rental Transaction we created on the desktop. To do this, simply click Marked as delivered.
After you click Marked as Delivered, you need to follow these steps:
1: Click Rental Transaction
2: Choose the Rental Transaction that you are assigning the Serial Number to
3: Click Save Changes.
We have just completed putting a unit in the field on Rent. The system will summarize up top the QR Code you scanned, what asset its assigned to, and who the asset is Rented to.
The next time you visit the asset in the field, simply scan the QR Code and Mark as Serviced if you are servicing the unit.
- Rental Service History: This will allow you to view a history of when this unit was serviced
- Mark as Delivered: This will allow you to place an asset on Rent in the Field
- Mark as Picked Up: When the item is coming off Rent, clicking Mark as Picked Up will return the item, and make the Serial Number / QR Code available to Rent somewhere else.
- Mark as Serviced: Click Mark as Serviced when you have completed servicing an item. This will update a report you can run later on.
- Create Task: This will allow you to create a task on the mobile app that can be synced to the desktop software.
- View Tasks: This will allow you to view all open tasks for the current customer that the QR Code is assigned to.
Now lets go see what happens after we sync Rentals on the desktop.
Sync Rentals on the desktop software, and then go to the Rental Inventory List. You will see the Serial Number that was assigned to the Rental Transaction in the field is now show as Rented to the Customer, and shows the invoice number assigned to it:
