Step 1 - Open the Task that you wish to add Line Items to:
Once you have finished working in a task and you are ready to create an invoice from the task, please follow the instructions listed below.
To add "Line Items" to your task for Billing purposes, the first thing you need to do is to make sure that your task has a "Resolution" entered.
Step 2 - How to Add Line Items to your Task:
On the "Line Items" tab you can select whatever line items you wish to add to the task.
- *Optional* - If there is a "Parent Line Item" first select the parent and then you can select the line item that resides under the parent.
- If you do NOT have a "Parent Line Item" then click the drop down where it says, "Item" and select the line item that you wish to enter.
- You can adjust your Quantity (QTY) and the price of the line item directly from this screen. Just click into the correct field and type in what you would like to see.
- *Optional* - If you have Setup "Customer Preferred Pricing" you can simply click the "Load Customer Preferred Items" button and the software will bring in ALL line items/pricing that you have set pricing for, for the current customer.
Now you can simply repeat the process above in order to add multiple line items. Once you are done you will notice that the system has automatically Added tax (if applicable) and totaled the line items.
Step 3 - How to create an Invoice from my Task:
Once you have added all items and adjusted the Quantities you are now ready to create an invoice from the task. All you need to do is click the button that says, "Invoice" and then hit "Yes" on the popup that says, "Would you like to create a invoice?".
The system has now created an "Invoice" based off of the line items and information that we had within the task. You can "Post" this invoice directly into QuickBooks OR close the invoice to save it and push it into QuickBooks at a later time.
TIP - How to Automatically add your "Resolution" with a "Line Item" into the Invoice.
If you look closely, you will see that the system automatically added a line item called "Notes" to the invoice. This Line Item has the "Resolution" that we entered into the task before we invoiced it. Most companies use this as an easy reference while reviewing the invoice.
